Some very exciting updates are coming to the world of XPLAN Document Notes over the next 8 months or so. Many of these are based on features and development requests thst we have championed for users of our sites, so it is great to these coming to fruition. The rollout will be staggered, and the timelines may change but the below information represents a guide.
 Streamlining of the search filters
Estimated release: early November 2023
Based on usage data, XPLAN are streamlining the existing filters to hide some of the lesser used and bring those that are more commonly used to the forefront. It’s also to minimise the real estate the filters take on the page, giving more focus to the notes.
The filters will be placed below the planned pinned documents panel because the filters only apply to the document list i.e. the pinned documents won’t change based on the filters you select.
Pinning a client’s notes
Estimated release: late November to early December 2023
To help you get faster and easier access to important and frequently used document notes, XPLAN are introducing the pinning of notes so you’ll no longer need to search for these documents. Pinned document notes will always appear in the new pinned panel at the top of the client document notes area, helping to reduce the noise and clutter that can come from years of client notes and email threads.
The pinning is on a client basis, so if a user pins a note for a client, all users will see the note as pinned when viewing the client. This is the same as the pinning note (and task) feature currently available in the client activity hub. The add button will be moved to the top of the page so it can be accessed without needing to scroll down the page.
Bulk update to more than 50 notes
Estimated release: December 2023
XPLAN are frequently asked for the ability to be able to update more than 50 notes at a time. This functionality existed previously but was removed as a byproduct of the introduction of pagination to assist with search performance issues that were being had. They're reintroducing this within the document library and client notes area, which will increase efficiencies when it comes to the management of mistakes and consistencies in your site.
As XPLAN need to complete development for each individual option, they’ve selected some of the bulk modify choices for this piece of enhancement work. They’ll also be moving the bulk update to be a background job so that you can continue to work within Xplan while the updates are happening. The bulk modify options for more than 50 notes are expected to be:
• Type
• Subtype
• Permission
• Client access
• Delete
• Generate PDF (background job is existing behaviour)
Bulk update note subject and reference date
Estimated release: January 2024
In a similar vein to the above enhancement, Xplan are introducing the ability to bulk modify the note subject and reference date. These will also be available for bulk modify on more than 50 notes at a time in the document library and client notes area. The modification of the reference date will be especially useful to align note dates with the provision of services.
There will also be a slight rearrangement of the action menu to group all the modify actions together.
Merging selected notes into one
Estimated release: March/April 2024
We know it’s not always easy to find what you’re looking for within a client’s notes area and there can be a lot of noise and clutter, especially relating to email threads and Client Portal conversations, mistakes can be made when manually filing notes and scrolling through a long list of client notes can be inefficient.
This enhancement will give you the ability to select one or more notes against a client and from the action menu, select a master note to merge them into. The attachments will move across, and the body of the note will be appended in chronological order. Merging of notes will require the delete document capability, as on merge, all notes but the master will be removed.
Tagging a client’s notes
Estimated delivery: April/May 2024
The introduction of a tagging feature in document notes aims to solve a couple of problems that XPLAN have heard from our users. We often hear that it's not easy to find notes because everyone has a different way of naming and filing, email threads and conversations sometimes don't save to the same note which creates clutter, and emails can often contain multiple topics so the subject/type/subtype isn't accurate.
To help address these problems, XPLAN will be introducing a tagging function that will be created as a field within the existing note group. The tag options can be set within field definitions and the existing field conditioning function can be used e.g. a tag option can be conditioned for a certain note type. Group visibility will also be available.
Tags will allow you to show more useful information upfront. For example, you may have a note with the type = advice and a subtype = SoA, but you could use the tags 'final copy', 'signed copy', 'investment', 'insurance' or 'super' to show at a glance what is contained within the note and attachments. You can also use tags in email thread notes to show what the actual content talks about, making it easier to find.Â
The tag field will then appear in the document note for selection when editing or creating a note. The tag field will be added as a search filter for inclusion and exclusion. This is beneficial because you can choose to exclude certain tags like 'archived', 'internal' or 'portal conversations' to give you a cleaner notes experience.
View attachments only
Estimated delivery: June 2024
XPLANs research shows that it can be a struggle to find notes easily because everyone has a different way of naming and filing, scrolling through a list of notes is not efficient, and it can be frustrating that each note has to be previewed/opened to see what's in the attachments.
To help address these problems, they're planning to introduce the ability to view a list of attachments for a client, independent of the note. Listing the attachments will give you quicker access to what you're looking for and you'll be able to open an attachment preview and then click through to the next or previous one, replicating the concept of a paper file.
